Inventory notifications: Overview


Notifications are alerts that can be communicated to users, highlighting important inventory events. These notifications can be communicated via SMS, email and bulletin board immediately, daily, weekly and monthly basis.

The list of events for which inventory notifications can be communicated are listed below.


A. Based on inventory status


  1. Out of stock: When the stock of a material in an entity is zero or stocked out,  a notification can be triggered. Only active inventory items are considered for this notification. This can be customized on the following basis:
    • Material tags
    • Entity tags
  2. <min: When the stock of a material reaches or drops below the minimum stock threshold, a notification can be triggered. The minimum stock threshold set per inventory item is used for this notification. This can be customized on the following basis:
    • Material tags
    • Entity tags
  3. >max: When the stock of a material reaches or rises above the maximum stock threshold, a notification can be triggered. The maximum stock threshold set per inventory item is used for this notification. This can be customized on the following basis:
    • Material tags
    • Entity tags
  4. Stock back to normal level: When the stock of a material is back to the normal range (within the minimum and maximum stock threshold), a notification can be triggered. The minimum and maximum stock threshold set per inventory item is used for this notification. This can be customized on the following basis:
    • Material tags
    • Entity tags


B. Based on expiry


  1. Batch expiry: When specific batches of materials are expected to expire, a notification can be triggered. The expiry period provided while creating a material data is used for this notification. This notification can be customized on the following basis:
    • Number of days prior to batch expiry
    • Material tags
    • Entity tags


C. Based on inactivity

  1. No inventory activity: When there are no inventory transactions recorded in a domain for a specific period of time, a notification can be triggered. This notification can be customized on the following basis:
    • Number of days of inactivity to be considered
    • Material tags
    • Entity tags


D. Based on quantity of a transaction:

  1. Stock count differs from current stock: When the difference/adjustment registered post a stock count transaction is beyond a percentage, a notification can be triggered. This can be customized on the following basis:
    • Percentage (%) of adjustment value to be considered
    • Material tags
    • Entity tags


E. Based on the type of transaction:

  1. Stock received: When a 'receipt' transaction has been created, a notification can be triggered. This can be customized on the following basis:
    • Material Status
    • Material tags
    • Entity tags
  2. Stock issued: When an 'issue' transaction has been created, a notification can be triggered. This can be customized on the following basis:
    • Material Status
    • Material tags
    • Entity tags
  3. Stock counted: When a 'stock count' transaction has been created, a notification can be triggered. This can be customized on the following basis:
    • Material Status
    • Material tags
    • Entity tags
  4. Stock discarded: When a 'discard' transaction has been created, a notification can be triggered. This can be customized on the following basis:

  5. Stock transferred: When a 'transfer' transaction has been created, a notification can be triggered. This can be customized on the following basis:
    • Material Status
