Sales orders: Overview


A sales order is a type of order created by a vendor, to send materials to its customer(s).

Navigate to the Create Order page

  1. Click on the Orders tab in the main menu
  2. Select the Orders sub-tab from the options in the drop-down list
  3. Click on the Create Order tab



Create Sales order

  1. Click on Type field and select Sales Orders from the dropdown list



2. Enter the first few alphabets of the Vendor name and select from the drop-down list that appears




3. Click on the Edit icon next to the Vendor field to choose a different vendor. The edit option appears ONLY if there is more than one vendor

4. Enter the first few alphabets of the Customer name and select from the drop-down list that appears



5. Click on the Edit icon next to the customer field to choose a different customer. The edit option appears ONLY if there is more than one customer

6. Enter the Reference ID of the order



7. Click on the Order tag field and select from the options available



8. Click on the Expected date of arrival field to view a calendar. Select the date by when order will reach customer entity



9. Enter comments for the customer in the Comments field, IF ANY




NOTE: All fields with an asterisk are MANDATORY, others are OPTIONAL

 


10. Select a material to be ordered. 

      a. Scroll down the material list and select a material. The list can be filtered using Material tag filter  OR

      b. Enter the material name in the field and select from the list



11. Check the box Show customer's stock on hand to view stock for each material at the customer's location. This option is visible ONLY if configured

12. View the customer's Stock on hand along with the min. and max. quantities within brackets. Stock on hand is the total stock available at the customer entity, while min. and max. indicate the minimum and maximum quantity that should be stocked

13. View the Available stock, which is the stock available for use at the vendor entity. The Stock on hand, min. max. are displayed below in brackets

14. View Months of stock available at the vendor location. This indicates the months for which existing stock will last

15. Click on the down arrow next to months of stock value, to see recent inventory trend of the material



16. View the order recommended quantity, which is calculated by the application based on customer's Max. - Stock on hand + In transit stock



17. Enter a new Quantity if the recommended value is not as required OR proceed to step 

18. Select a reason for overriding recommended quantity from the dropdown list



19. Click on Delete icon to delete the material entry, IF REQUIRED

20. Continue to add materials to the order, IF REQUIRED

21. Click on Submit to send the entries or Reset to clear the order



22. A pop-up message appears confirming the ordered quantity does not match recommended quantity. Click OK to continue or Cancel to go back and change the ordered quantity. This message appears ONLY if order recommendation was overridden

23. A message informing successful creation of an order is displayed along with the Order number









NOTE: If configured, new sales orders when created will be in Confirmed state. Else they will be in a Pending state
