Transfers: Overview


When stock is moved from one entity to another, it is known as a 'Transfer' transaction. On performing a transfer transaction, it will result in: 

  • An automatic issue transaction for the vendor entity, hence decreasing the vendor entity's current stock
  • An automatic receipt transaction for the customer entity, hence increasing the customer entity's current stock

Navigate to the Transfer stock tab

  1. Click on the 'Logistimo' logo to open the application
  2. Log in with the username and password




  3. Click on Inventory
  4. Click on Transfer stock





Transfer stock between entities


  1. Select the type of entity you wish to initiate a transfer to/from:

    • Customers: the number of customers to whom you can transfer material will be displayed within brackets

    • Vendors: the number of vendors from whom you can transfer material will be displayed within brackets

  2. Select a Customer/Vendor from the list





  3. a. View the total number of materials across all categories next to the page title

    b. View the total number of materials within a category next to material tag name

    c. View the entities involved in transfer transaction the above material category list (vendor name -> customer name)





  4. a. Click on forward arrow button to view more materials. Only 10 materials are shown at a time

    b. View the current stock and the last updated time for each material. The quantity is color coded based on inventory status
     - 
    red: zero stock
     - black: normal stock
     - 
    orange: < min.
     - 
    purple: > max.
    c. Select a material by entering the name in the field and clicking on the material from the resulting list or alternatively, scroll through the material list and click on the material name

  5. View following details of the material:
    a. Stock on hand: this is the total quantity of material at the entity (Available + Allocated)
    b. Min: the minimum quantity of material that should be stocked
    c. Max: the maximum quantity of material that should be stocked
    d. Allocated: how much quantity of the material is already allocated for use, and thus not available for transactions
    e. Available: the quantity of material available in stock (Stock on hand- Allocated)
    f. In transit: the quantity of material that has already been dispatched and is on the way to this entity
    g. Updated: the date and time stamp that shows when the information was last updated





  6. View details of the existing batches IF ANY. Click on a batch to view Manufacturer, Manufactured date, Last updated timestamp




  7. Enter the quantity of material to be transferred, from one or more batches

    Note: This step is applicable ONLY for batch-managed materials. For materials which are not batch managed, enter the quantity to be transferred in Transfer Stock field, select Status of the material, select Reason for transaction and click on Save. Proceed to step 12





  8. Select the Status of the material
  9. Select the Reason for transfer transaction



  10. Click on Save to save the transaction or Cancel to quit
  11. If stock from more recent batch is transferred, when an older batch exists with a closer expiry date, a notification will pop up. Click Yes to continue with current allocation or No to go back and change the selection 



  12. View the transaction on the main screen, the quantity will appear under the name of the material

    Note: Multiple materials can be transferred in a single transfer transaction. A red flag will appear next to the material category, which indicates that transfers have been performed to materials within that category

  13. Click on Send to continue or Clear all to reset all values




  14. Review transaction and click on Send now to submit the transaction, or on Cancel to quit
  15.  A pop-up will display 'Inventory updated successfully' message. This indicates that the transfer transaction is complete and the inventory of both vendor and customer is updated successfully. Click on OK to continue




 

NOTE: If the 'Inventory updated successfully' message is not displayed, then the transfer transaction is incomplete.
