Receipts: Overview


Stock received at an entity is recorded as Receipts. On performing a receipt transaction, the current stock of the material will increase.

Navigate to the Enter receipts tab

  1. Click on the 'Logistimo' logo to open the application
  2. Log in with the username and password



  3. Click on Inventory

  4. Click on Enter receipts





Enter a receipt


  1. Select name of the vendor (entity which has sent materials) from the list which appears on screen
  2. Click on Skip button at the bottom of the page ONLY if the vendor is not registered on the mobile app and is not appearing on the screen



  3. a. View the total number of materials across all categories next to the page title

    b. View the total number of materials within a category next to material tag name

    c. Select the material tag to view materials within that category






  4. a. Click on forward arrow button to view more materials. Only 10 materials are shown at a time

    b. View the current stock and the last updated time for each material. The quantity is color coded based on inventory status
     - 
    red: zero stock
     - black: normal stock
     - 
    orange: < min.
     - 
    purple: > max.
    c. Select a material by entering the name in the field and clicking on the material from the resulting list or alternatively, scroll through the material list and click on the material name





  5. View following details of the material:

    a. Stock on hand: this is the total quantity of material at the entity (Available + Allocated)
    b. Min: the minimum quantity of material that should be stocked
    c. Max: the maximum quantity of material that should be stocked
    d. Allocated: how much quantity of the material is already allocated for use, and thus not available for transactions
    e. Available: the quantity of material available in stock (Stock on hand- Allocated)
    f. In transit: the quantity of material that has already been dispatched and is on the way to this entity
    g. Updated: the date and time stamp that shows when the information was last updated





  6. View quantity and Expiry date of existing batches, IF ANY. Click on a batch record to view 
    • Manufacturer
    • Manufactured date
    • Last updated
  7. Click on Add new batch button

    Note: This step is ONLY applicable for materials which are batch managed. For materials which are not batch managed, enter the quantity received in Receipts field, select material status, reason for transaction and click Save. Proceed to step 17





  8. Enter new batch details (all fields marked with an asterisk are MANDATORY), starting with the Batch ID
  9. Click on Enter manufactured date field and select the date, month & year from the calendar view. Use the '+' or '-' icon to navigate the next or previous date, month and year respectively



  10. Enter Manufacturer name
  11.  Click on the Enter batch expiry date field and select the date, month & year from the calendar view. Use the '+' or '-' icon to navigate to next or previous date, month and year respectively



  12. Enter quantity of the batch being received. Ensure it is a positive number
  13. Click on Save to save the batch details or Cancel to quit

    Note: Multiple batches can be added in similar manner for the same material





  14. Select the Status of the received batch(s)



  15. Select the Reason for the receipt transaction



  16. Click on Save to continue or Cancel to quit

     Note: Multiple materials, batch and non-batch managed, can be received in a single transaction






  17. Click on Send to save the transaction or Clear all to quit

    Note: Red flag next to the material tag indicates that some receipts have been entered for materials under the category




  18. Review the transaction on the screen and click on Send Now to submit the transaction or Cancel to quit



  19. A pop-up will display 'Inventory updated successfully' message. This indicates that the receipt transaction is complete and the inventory is updated successfully. Click on OK to continue








NOTE: If the 'Inventory updated successfully' message is not displayed, then the receipt transaction is incomplete.
