Transactions: Overview

The transactions page provides a list of all the transactions that have been performed. The transactions include Issues, Receipts, Discards, Stock Counts & Transfers.


TEXT GUIDE


Navigate to the Transactions page

  1. Click on the Inventory tab in the main menu
  2. Select the Transactions tab from the drop-down list
  3. A list of all transactions will be displayed on the screen




View transactions

  1. Reset button: reset all filters and return to default data view
  2. Export button: 
  3. Undo button: only issues, receipts and discards can be un-done. For incorrect stock adjustments, re-do the stock counts
  4. Number of rows: indicates how many rows of information are listed on the page, and the total count
  5. View a list of all transactions for all materials associated with those entities which have had a transaction. Each row comprises one transaction, and the following fields of information are displayed in a tabular format.

a. Selection box: use these to select and view specific transactions

b. Sl.No: transactions are listed in a chronological order, where the latest transactions are listed on top

c. Entity: name of the entity or store at which the transaction was performed, clicking on the entity name will direct you to the entity detail page

d. Material: name of the material that was transacted

e. Opening stock: stock holding of the material before the transaction was performed

f. Operation: type of transaction being performed (Issue, receipt, discard, stock count or transfer)

g. Quantity: quantity or stock value that was transacted

h. Closing stock: stock holding of the material after the transaction is performed

i. Updated on: date on which the transaction was entered

j. Updated by: name of the person who performed the transaction, clicking on the name will take you to their details

h. Device icon: displays if the transaction was performed on a mobile, web or uploaded in bulk

NOTE
A transfer will create THREE transactions: a transfer, an issue & a receipt



Filter transactions

  1. Click on the down arrow to expand the filters
  2. The Transaction filters fields are used to retrieve specified data. The filters available are:

a. Entity: enter the first alphabet of the entity and then pick the entity you want to filter by and view transactions

b. Material: enter the first alphabet of the material and then pick the material from the drop-down list to get a list of transactions of that material

c. Type: filter by type of transaction: issue, receipt, stock count, discards or transfers 

d. From: use the drop down calendar to select a specific start date from which you want to see transactions

e. To: use the drop down calendar to select a specific end date and create parameters to filter transactions

f. Customer: filter by customers who get material from this entity

g. Vendor: filter by vendors who supply material to the entity

h. Entity Tags: entities grouped together within a single category

i. Material Tags: materials grouped together within a single broad category

j. Transaction Reasons: view transaction with same kind of transaction reasons

3. Use the up arrow to collapse the filters header





Export transactions

  1. Click on the Export button to export the entire record of transactions or a subset of the data with the filters you specify
  2. A pop-up window will appear to confirm whether you want to export transactions as per selected criteria. Click OK to continue or Cancel to abort the export
  3. On clicking OK another pop-up message appears to confirm that the record has been emailed to your registered email address
  4. Track the status of the export by clicking on user profile on the top right of the screen and selecting My Exports from the drop-down menu
