Issues: Overview

An Issue is a transaction where one entity sends material to another entity or end customer. When inventory is issued, stock-on-hand at the inventory location is decreased.


NOTE:
Before issuing stock ensure that all transactions have been completed and the current stock quantities on the application match physical stock quantities.

Navigate to the Create Transactions page

  1. Click on the Inventory tab in the main menu
  2. Select the Transactions sub-tab from the options in the drop-down list



3.Select Create Transactions option




Create an Issue


STEP 1: ENTER TRANSACTION DETAILS


1.Enter the first few letters of the entity name in the Entity field and select the entity from the drop-down list (Users with a single entity will see the name populated in the Entity field by default)




2. Click on the Edit icon to reset the name and select another entity

3. Select Issues from the drop-down that appears in the Transaction Type field



4.Click on the Edit icon to reset the transaction type and select another 

5. Select the Date of actual transaction from the calendar that drops down, this is the date the issue actually happened (not the date the transaction is being updated)



6. Enter the first few alphabets of the customer name and select from the drop-down list of customers - the entity or end customer to whom the material is being issued




STEP 2: ENTER MATERIAL DETAILS

  1. Click on the Tag icon for a list of all the material tags

  2. Select a category to view a list all the materials within that category

  3. Scroll down and select a material to be issued from the list

  4. Alternatively, enter the name of the material in the field below

  5. View the total Stock on hand, with minimum and maximum quantities displayed below it

  6. View the Available stock, which is the stock available for issue

  7. Enter the Quantity of the material to be issued

  8. Select the Status of the material from the drop-down menu: Good condition, Slightly damaged or Expiring soon

  9. Select the Reason for the issue from the drop-down

  10. If there are more materials to issue, enter the name of the material in the next row and continue updating the record in the same way.

  11. Review all issues, and click on the trashcan icon to remove any transaction

  12. Click on Submit to save all the issues, or Reset to quit

  13. On successful submission of the transaction, a pops up confirmation “Transaction(s) created successfully”










ENTER DETAILS FOR BATCH-MANAGED MATERIAL

  1. Select a material that is batch-managed

  2. View the total Stock on hand, with minimum and maximum quantities displayed below it

  3. View the Available stock, which is the stock available for issue

  4. Click on the Enter by batch button

  5. View the Batch ID, Manufacturer, Expiry date, Stock on hand and Available stock of all available batches of the material
  6. Enter the Quantity of the material to be issued from each batch

  7. Select the Status of the material from the drop-down menu

  8. If the quantity is not entered in the right multiples of units (value can be configured) a prompt will pop up to inform that an incorrect unit value has been entered

  9. Select the Reason for the issue from the drop-down

  10. If there are more materials to issue, enter the name of the material in the next row and continue issuing more material

  11. Review all issues, and click on the trashcan icon to remove any transaction

  12. Click on Submit to save all the issues, or Reset to quit

  13. If allocation has not happened from earlier batches that are expiring first, then a pop-up notification will appear as a reminder. Click on Cancel to re-do the allocation or OK to continue with the transaction

  14. On successful submission of the transaction, a pops up confirmation “Transaction(s) created successfully”










View Issues

  1. Go to the Inventory tab on the main menu
  2. Select the Transactions sub-tab from the options in the drop-down list
  3. A list of all transaction receipt of that entity will appear, you can confirm if the details entered are correct
