Entity filters: Overview

There are two ways to filter stock views via entities on the Stock Views page:

  1. Entity: This field provides a filtered list of the transactions performed on a specific entity
  2. Entity Tag: This drop-down index shows a list of all the tags which classify entities into groups classified on their type of facility

Navigate to the stock views page

  1. Click on the Inventory tab on the main menu
  2. Select the Stock Views tab from the sub-menu




Filter stock views by entity

  1. Enter the first alphabet(s) of the entity name in the Entity field
  2. Select the entity whose stock levels you want to view
  3. View a list of the current stock levels of the specific entity in a tabular format

  4. View the number of rows displayed on the page and the total number
  5. Click on the small domain icon to switch to that domain (Only applicable wherever a domain name is specified). Clicking on the icon will pop a confirmation box, before switching to that domain (This icon is visible to administrators and super users only)
  6. The listings are in alphabetical order of material name, rows are coloured based on stock availability
  • Normal stock: no colour
  • Stock outs: red (zero stock)
  • <min stock: pink (minimum level represents the minimum quantity of the stock that should be held at all times)
  • > max: blue (maximum level represents the upper limit of the stock that should be held)
  1. View the name of the material

  2. View the Stock on hand, the amount of material or inventory that an entity company has available at a particular time

  3. View the allocated stock, the quantity of inventory existing in storage but set aside for a use
  4. View the quantity of material available, committed on-hand inventory available to service current requirements
  5. View In-transit stock, Goods that have departed from the dispatch, loading, or shipping point but have not yet arrived at the receipt, offloading, or delivery point. Also called in transit inventory or stock in transit
  6. View months of stock,  quantity of inventory at hand divided by average monthly consumption or sales
  7. View the minimum level of material that should be stocked at the entity below which the stock of materials should not fall
  8. View the maximum quantity of material above which the stock of any item should not normally be allowed to go. It is the upper level of the inventory and the quantity that must not be exceeded without specific authority from management
  9. View the date and time stamp of when the records were last updated
  10. Click on the small clock icon
  11. View the history of recent abnormal stock incidents (< min., > max, stock out) for the material
  12. View the name of the material
  13. View the name of the entity
  14. View the date and time from when the abnormal stock event started
  15. View the time until when the abnormal stock event lasted
  16. View the duration of the abnormal stock event in days
  17. Click on the small X to close the table

  18. The Entity filter can be used ONLY in combination with the Material tag filter







Filter stock views by entity tags

  1. Click on Entity Tags
  2. Select one or more entity tags from the list that drops down
  3. Click on the Filter button to filter by entity tags or on the Cancel button to quit without applying the filter
  4. View the number of rows displayed on the page and the total number of listings
  5. View a tabular list of all entities which match ALL the tags applied, the table view is the default view of this page
  6. Click on the small domain icon to switch to that domain (Only applicable wherever a domain name is specified). Clicking on the icon will pop a confirmation box, before switching to that domain (This icon is visible to administrators and superusers only)
  7. View the list of entities in alphabetical order
  8. View the name of the Entity, and its location details below it
  9. View the temperature status of all monitored assets in the store as a doughnut chart
  10. View the number of materials available at respective entities
  11. View the Total stock of each material across all entities at the bottom of the page

  12. The legend at the bottom of the page explains what the different color conditional formatting on the cells indicates:

    • Normal stock: no color
    • Stock outs: red (zero stock)
    • <min: pink (minimum level represents the minimum quantity of the stock that should be held at all times)
    • > max: blue (maximum level represents the upper limit of the stock that should be held)

13. Click on the map icon to see a map view of the data with all the entities that have been geo-tagged

14. Clicking on the geo-location clusters will drill down to the map pins of individual stores

15. Click on the Do not cluster checkbox to uncluster the geo-location tags

16. Click on the Satellite button to toggle to a satellite view







Export stock views report

  1. Click on Export
  2. A pop-up will appear, click OK to continue or Cancel to quit the action and exit
  3. If required, check the box to include batch details
  4. A pop-up will appear on the screen to acknowledge that the report will be emailed to the registered email address
  5. You can track the status of the export by clicking on the My Exports link on the top right of the page.
