Expired stock: Overview


Stock of materials that have batches with an expiry date prior to the current date is referred to as expired stock. The same batches of materials can be at multiple entities at the same time. To manage the expired stock, one should:

  • Identify where the expired stock is being held
  • Understand the reasons for the expiry of the batches and either
    • Discard the batches: This will ensure that the batch is 'discarded' and would need to be chosen if the batch expiry date provided is correct
    • Reset the batches: This will ensure that the batch is 'stock counted' and would need to be chosen only if the batch expiry date was incorrect

Identify & navigate entities with expired stock


Identify the entities with expired stock on the web application by looking for batches that expired before the current date. Refer to this guide to understand how to identify them.

  1. View and note the list of expired batches (Entity, Material & Batch ID) in the Stock views page
  2. Click on the entity name of the selected expired batch. This will navigate to the entity detail page
  3. Scroll and click on the Inventory sub-tab                                                                                     
  4. Click on the batch icon next to the expired material                                                              
  5. Identify the batch which has expired, under the heading of Expired batches. The option to reset and discard the batches will be listed.


Discard expired batches


To discard the expired batch,

  1. Click on the Discard icon next to the batch details                                                         
  2. Click on Select Reason                                                                       
  3. Choose the reason for discarding this batch from the dropdown
  4. Click on the Submit button                                                                       
  5. Confirm that the discard is complete based on the confirmation message 'Transaction(s) created successfully'


Reset expired batches


To reset the expired batch to zero, 

  1. Click on the Batch reset icon next to the batch details
  2. Click on Select Reason                                                                                            
  3. Choose the reason for performing a stock count to zero (resetting the batch) from the dropdown
  4. Click on the Submit button                                                                                      
  5. Confirm that the discard is complete based on the confirmation message 'Transaction(s) created successfully'

TIP:
Refer to transactions page & inventory page of the entity to confirm that the expired batch has been reset or discarded
